CASE FILES PROFESSIONAL

Case Files Mobile Terms of Service

Terms for authorized use of the Case Files Professional Android app, including agency access, GPS check-in/out, uploads, privacy, deletion and support.

Effective date: November 5, 2026 · Version 1.0

These Mobile Terms of Service apply to the Case Files Professional Android app, also called Case Files Mobile or Case Files Pro (package com.casefilesprofessional.mobile). Read them before using the app. Keep a copy for your records. The iPhone version is pending and is not currently available.

1. Provider, agency and scope

“Case Files Professional,” “we” and “us” mean the software provider operating casefilespro.com under the Case Files Professional brand. For provider questions, complaints or support, contact info@casefilespro.com or use our contact page. The developer’s verified trader identity and business contact details are available in the app’s Google Play listing. Your agency’s purchase or service agreement identifies its contracting supplier.

“Agency” means the organization that provides your account and operates or commissions the connected Case Files Professional installation. The app is a companion to that installation, not an independent public investigation service. These terms govern use of our mobile software; your agency’s employment rules, client instructions and service agreement govern their respective subjects. No agency instruction or agreement overrides applicable law or nonwaivable rights.

2. Acceptance and authorized access

By selecting an acceptance control presented with these terms or using the app after receiving reasonable notice of them, you agree to these terms to the extent permitted by law. If you do not agree, do not use the app; contact your agency for another way to carry out your work. Viewing this page alone is not acceptance. Accepting the terms is not consent to unrelated data collection, marketing or device permissions.

You must be legally able to agree to these terms and authorized by the agency to access its installation. Accounts are issued and managed by agency administrators, rather than public self-service registration. If acting for an organization, you must have authority for the commitments you make on its behalf. Do not use another person’s account or access a case outside your authorization.

3. License and included mobile access

Subject to these terms and your agency’s valid access rights, we grant you a limited, nonexclusive, nontransferable license to install and use the app on a compatible device for authorized agency work. We retain ownership of the software and its branding. You retain any rights you already have in your own content; these terms do not transfer ownership of agency or case records to us.

Case Files Mobile is included with Case Files Professional PI case management for supported self-hosted and hosted installations. It is not a separately functioning case management system. Agency software, hosting, optional services and support are subject to the relevant agreement; mobile data, connectivity and device charges may apply. Any separately purchased service must disclose its price and payment terms before purchase. Installing the app does not itself create a paid subscription.

4. Accounts, devices and security

Use the correct agency HTTPS address and protect your credentials, authentication tokens and device. Do not share authentication codes or bypass security controls. Use available device locks and keep supported software updated. Tell your agency promptly if a device is lost, an account is compromised or records are sent to the wrong destination. Your agency sets role permissions and can change or withdraw your access. You are responsible for your own authorized actions, subject to applicable law; you are not automatically responsible for every action following a compromise beyond your reasonable control.

5. GPS check-in and check-out

When you actively choose a case check-in or check-out, the app requests location subject to Android permission and device settings. The event includes coordinates, location accuracy and timing information associated with your account and case, and is sent to the connected agency server. Authorized agency personnel may review it for assignment and field-activity administration. Check for server confirmation before treating a submission as complete.

The Android app described in our Mobile Privacy Policy does not continuously track your route or request background-location permission. A push notification does not start GPS tracking. You can deny or revoke location permission through Android settings; location-dependent check-in/out will then be unavailable. Your agency must separately explain any workplace location requirements and meet applicable notice and legal-basis obligations. Agreement to these terms does not substitute for required in-app disclosures, consent or permissions.

GPS readings, approximate addresses and device times may be inaccurate. Do not falsify check-ins, spoof location or misrepresent work. A check-in is not conclusive proof of attendance, activity or safety. The app is not an emergency dispatch, lone-worker protection or continuous monitoring service. Use appropriate emergency services and your agency’s safety procedures when needed.

6. Case information, notes and uploads

Access only records you are permitted to use. Verify the agency, case and intended destination before submitting notes, selected photographs, recordings or documents. Uploaded files can contain embedded metadata, including location information. Preserve originals and use your agency’s evidence, confidentiality, review and retention procedures. Confirm successful submission; signing out or losing connectivity does not establish that a record reached the server.

Recordings referred to here are files you choose to submit where the installed version supports that upload; these terms do not represent that the app has a microphone recorder, call-recording function or unrestricted camera or photo-library access. Available functions depend on the app release, compatible server, permissions and configuration. Do not rely on an unsent draft or pending upload as your sole copy.

You and your agency must have the rights and lawful authority needed to collect and submit content, including required recording consent and confidentiality permissions. You permit us and relevant service providers to process content only as needed to supply, secure and support the service, subject to applicable privacy obligations and service agreements. This is not a license to sell case content, publish it publicly or use it for unrelated marketing.

7. Lawful and acceptable use

  • Do not use the app for unlawful surveillance, stalking, harassment, discrimination, doxxing, intimidation or unauthorized tracking.
  • Do not obtain, upload or disclose records unlawfully, impersonate another person, falsify evidence or interfere with another person’s rights.
  • Do not distribute malware, attempt unauthorized access, evade access controls or disrupt the service.
  • Do not copy, resell or modify the software, or reverse engineer it, except where permitted by applicable law or our written authorization.

The app does not grant an investigative license, recording consent, warrant or authority to access restricted information. Agency administrators must manage authorized users, lawful instructions and access revocation. Nothing in these terms restricts lawful reporting to regulators, law enforcement or other protected disclosures.

8. Privacy, permissions and notifications

The Mobile Privacy Policy explains account and case data, event-based GPS, selected uploads, local storage, Google Firebase messaging, recipients, retention and privacy requests. Read it alongside your agency’s privacy notice. Privacy notices describe practices; they do not waive your rights. We do not sell personal or sensitive app data or use it for targeted advertising.

Android permissions and settings control relevant device access and notification visibility. Notification text may reveal case-related information on a lock screen; adjust previews for your environment. Permission choices can limit the corresponding feature without authorizing unrelated data use. Optional functions that need a new permission or disclosure must follow the applicable platform and legal requirements.

9. Account and data deletion

You may request deletion of your account and associated personal data, or specified data, by following our Account & Data Deletion instructions. Send the request to the agency that issued your account. If you cannot identify or contact it, email info@casefilespro.com for help. You do not need to sign in to use these contact routes. Do not send passwords or confidential evidence with a request.

The responsible organization verifies identity as reasonably necessary and handles deletion within applicable legal deadlines. We coordinate hosted-service requests and assist with agency identification as appropriate. Self-hosted records are controlled by the agency. Only records that may or must lawfully be retained—for example for evidence preservation, regulatory duties, security or legal claims—may be kept for those purposes, with the categories and retention reason explained as required. Disabling an account or uninstalling the app is not deletion of server-held data. Backup retention and deletion are addressed in the linked notices.

10. Google Play and other services

Your use of Google Play and Android is also subject to the applicable Google terms. These app terms are between you and the relevant software provider, not Google. Google does not operate your agency’s case server or become responsible for our service solely by distributing the app. Nothing here reduces any obligation Google or another provider owes you under its own terms or applicable law.

Notifications, maps, hosting, storage and connectivity may involve third-party services. Their availability and applicable terms can affect the associated feature. Your agency is responsible for the services it configures; our obligations for services we supply remain governed by our agreements and law.

11. Availability, updates and support

Access depends on a compatible device, internet connection, valid agency credentials, supported app/server versions and the agency’s installation. Maintenance, connectivity problems or updates may interrupt service. We do not promise uninterrupted operation, a fixed feature set or a particular investigation outcome. We remain responsible for any service commitments and mandatory conformity, security-update or other obligations that apply to us.

We may provide reasonable updates for security, compatibility or service improvements. Material changes affecting your rights will receive notice where required. Contact your agency first for assignments, accounts and case records; contact us for app or provider issues. Report problems with the app version and a description, without sending authentication secrets or unnecessary case data.

12. Suspension and ending use

You can stop using and uninstall the app at any time. Your agency can revoke your authorization. We may restrict service where reasonably necessary to address a material breach, security risk, unlawful activity or legal requirement. Where appropriate and lawful, we will give notice and an opportunity to resolve the issue; urgent restrictions may be immediate. Restrictions do not remove any right to dispute an action, request data or seek a remedy.

Ending access does not automatically erase records or cancel a separate agency service agreement. Use the deletion process for personal-data requests. Obligations that need to continue by their nature, including lawful confidentiality, existing payment obligations and preservation of mandatory rights, survive to the extent permitted by law.

13. Service limits and mandatory rights

Software supports professional judgment and does not independently authenticate evidence, certify reports or guarantee admissibility or compliance. Check important records and outputs, maintain appropriate backups and apply qualified review. To the extent allowed by law and except for express commitments, the app is supplied on an “as available” basis without a promise of fitness for every individual purpose.

Nothing in these terms excludes or limits liability where that would be unlawful, including liability for fraud, deliberate misconduct, gross negligence where it cannot be limited, or death or personal injury caused by negligence where applicable. Nothing removes statutory consumer guarantees, required remedies for defective digital services, applicable cancellation or refund rights, privacy rights or access to competent courts. Any allocation of liability in a separate agency agreement applies only to its parties and remains subject to mandatory law.

14. Changes, complaints and applicable law

We will publish changes with a new effective date. Material changes will receive reasonable advance notice through available service channels where required, with renewed agreement where necessary. Changes do not retroactively remove accrued rights. If you object, stop using the app and contact your agency or us; any applicable right to terminate, cancel or receive a remedy remains available.

Send questions or complaints to info@casefilespro.com and identify the issue without disclosing confidential case material. We will consider the complaint and respond within a reasonable time or applicable legal deadline. These terms do not impose mandatory arbitration, a class-action waiver or an exclusive foreign forum. Applicable mandatory law and jurisdiction rules remain in effect, including protections available to consumers in their country of residence. If a provision is unenforceable, the remaining lawful provisions continue to apply.
