FROM RECORDING TO REPORT

A clear workflow for recorded interviews.

Designed for investigators, interview teams and report reviewers who need to move from recorded statements to a checked transcript and a structured report.

01 / ORGANIZE & TRANSCRIBE

Start with the recording.

Create an interview project with its case or claim reference and interviewee. Import recordings, choose transcription options and process audio on the Windows PC.

02 / LISTEN & REVIEW

Check what was said.

Play timestamped segments, correct the text, rename speakers and mark segments reviewed against the audio. Preserve the original machine output and correction history.

03 / PREPARE & EXPORT

Build the deliverable.

Add interview details and a timestamp-referenced narrative. Review the report, export Word or PDF, preview for printing or use the supported Case Files upload workflow.

TOOLS FOR CAREFUL DOCUMENTATION

Keep the interview, review and report connected.

Searchable interview projects

Maintain interview titles, case or claim numbers and interviewee details. Search projects, edit their information and reopen the interview workspace for recordings, transcription, review and reporting.

Local transcription controls

Audio is processed on the PC. Choose speed/accuracy settings and a speaker-count option before transcription. Fast prioritizes speed; Enhanced prioritizes accuracy. The supplied interface shows English transcription and automatic speaker labels that remain subject to review.

Timestamped playback and speaker review

Move through timestamped segments with play, pause, resume, stop and playback-speed controls. Name participants and rename a speaker throughout the transcript. Correct text while listening and mark inaudible, overlapping or unclear speech where appropriate.

Original output and correction history

Review the original machine output and correction history. Segment review flags and transcript revision status help distinguish a draft from a fully reviewed transcript. Recording lists also display a SHA-256 fingerprint prefix for reference.

Structured, agency-branded reports

Use the saved agency profile and branding. Record the interview date, time and timezone, investigator, location or method, case reference, recipient and reviewer. Add purpose, circumstances and a narrative supported by transcript timestamp references, with a source-attributed statement draft available for review.

Word, PDF and print preparation

Save report content, export Word or PDF and preview or print PDF output. Use verbatim transcript, transcript line-number and blank reviewer-attestation options as appropriate. Drafts stay labeled until review is complete; later report edits clear the earlier report approval.

Automatic transcription and speaker labels require checking against the source audio. A reviewer’s approval records their review; it is not legal certification or an authenticated signature. Keep original recordings and suitable backups.

OPTIONAL CASE FILES CONNECTION

Prepare locally.
Connect the finished work to your agency.

Like MediaPro, TranscriptPro can work as a standalone desktop program or connect to Case Files Professional. Use the agency URL and access approval workflow to establish an authorized connection.

A dedicated interview workspace

Import, transcribe, review and prepare reports in TranscriptPro. Local transcription keeps audio processing on the PC; an agency connection is optional for the local workflow.

Supported case delivery

From Interview projects, open Recordings / transcribe, then Reports & export and choose Upload to Case Files. Review the case destination and the upload options available in your compatible agency installation before confirming delivery.

Connected delivery requires internet access, an approved agency session and a compatible Case Files Professional connection. Discuss your self-hosted or hosted agency installation, supported upload contents and access requirements during the walkthrough.
