FFLTrack

Clear records from acquisition through disposition.

FFLTrack gives federal firearms licensees a dedicated workspace for firearm details, acquisition and disposition entries, associated forms, license information, and recoverable record copies.

A&D records and search

Organize acquisition and disposition records and retrieve basic firearm details by make, model, serial number, or transaction dates.

Paperwork and license details

Prepare supported fillable ATF forms, including Form 4473, and use print workflows. Maintain license number, expiration, and configured license types.

Controlled record access

FFL users work with their own records, administrators manage the application, and a view-only ATF role supports authorized record review.

Onsite copies and updates

Use the Windows onsite agent to save snapshots to a designated folder at your premises. Verify scheduled copies, restore workflows, and cumulative updates through the Update Center.

How FFLTrack supports firearm recordkeeping

Maintain acquisition and disposition information

Create acquisition entries with firearm details and maintain the associated disposition information as transactions occur. The record view brings manufacturer, model, serial information, firearm type, caliber, transaction dates, and status together. Search tools help an authorized user retrieve the record needed for the task.

Use inventory and transaction views

The activity dashboard shows inventory totals, recent activity, and acquisition and disposition indicators. Inventory and transaction views provide another way to review operational records. These views support day-to-day organization while the licensee remains responsible for reviewing the underlying entries.

Keep supported forms near the records

Use the ATF Forms Center and supported fillable and print workflows, including Form 4473. The application also provides views for multiple-handgun-sale records and trace or theft/loss work. The forms and fields available depend on the installed version and configured license type.

Maintain license information and controlled access

Store the FFL number, license type or types, and expiration details. FFL users work with their own records; administrators manage users and application settings. A view-only ATF role supports controlled review. Establish access and review procedures for the licensee’s actual operation.

Keep recoverable copies at your premises

The Windows onsite agent saves record snapshots to a designated local destination. Verify the scheduled task, confirm new snapshots arrive, and keep the destination available. Use the backup and restore workflows to test recovery rather than assuming a successful schedule means every copy is usable.

Plan hosting and updates around your operation

Choose a compatible self-hosted environment or discuss hosting through us. The onsite agent supports the premises backup workflow for either deployment. Use the Update Center for cumulative packages and agree on application administration, support, storage, maintenance, and recovery responsibilities.

Additional product information

Electronic acquisition and disposition records

FFLTrack is a dedicated firearm recordkeeping application from Case Files Professional. Organize acquisition and disposition entries with firearm details, transaction dates, and associated documentation. It is a separate system from the investigative and law enforcement products.

Find the record you need

Search basic firearm information such as make, model, serial number, and transaction dates. Keep the supporting record accessible to authorized users as the firearm moves through the acquisition and disposition workflow.

Forms and license information

Prepare supported ATF forms, including Form 4473, using the available fillable and print workflows. Maintain FFL license information, license types, and expiration details within the application. Availability of specialized options depends on the installed version and configured license types.

Role-based access

FFL users work with their own records, administrators manage the application, and a view-only ATF user role supports controlled review. Configure access for your operation and keep the authoritative records under the licensee’s management.

Onsite backup and recovery

The Windows onsite agent stores snapshots in a designated folder at your premises. Scheduled backups, local snapshots, and restore workflows help you keep a recoverable copy of records. Verify that the agent runs and the expected files arrive at the configured destination.

Self Hosted or Hosted by Us

FFLTrack can run on your compatible server or be hosted by us. Self hosting gives your organization responsibility for the application environment. Hosting through us provides a managed environment under agreed service terms. The onsite backup agent remains part of the premises backup workflow for either deployment.

Deploy FFLTrack on compatible infrastructure and configure backup schedules, timezone, and users. Cumulative updates are installed through the Update Center. Discuss a managed hosting arrangement if your team prefers assistance with the application environment.

FFLTrack supports recordkeeping workflows. Use of the software does not by itself establish compliance or ATF approval; the licensee remains responsible for applicable recordkeeping and operating requirements.
